From silos to synergy

University of Tasmania
As technology continues to change the way we work, organisations are looking at how they can harness these solutions to enable leaner and more streamlined ways of working.
This type of change can provide significant benefits, including efficiencies, productivity and more cohesive teams. However, to maximise these benefits, the process and the people change need to be given equal attention.

University of Tasmania has a vast network of colleges and sites spread throughout the state, each of which is provided with services such as communications, events, ordering office supplies, processing mail, booking travel and other administrative tasks.

In 2020 a strategic review showed the need for an integrated solution to manage these services - not just a technical one, but a human-centered one as well.
A human-centred approach
Changing the way more than 33,000 students and 2,600 staff interact with these teams was one challenge. The more significant one was a cultural, personal and structural transformation to a combined operating model to service the state.

The teams needed help to find ways to work better together, building on their strengths to operate cohesively and maximising their use of the available technology to enhance their performance. This is where GSD came in.
The power of positive change
We utilised our technical and industry experience to develop a deeper understanding of the roles and responsibilities in the new operating model, coaching people in their new roles and highlighting the development pathways provided by the transformation.

This also provided team members with a platform where they felt listened to, respected, understood and part of the transformation.
To connect the geographically dispersed team members, a structured approach to meeting patterns was introduced, making better use of technology to bring the teams together. This was implemented by the project team and embedded to enable teams to continue to use it moving forward.

Including the team members of the University in the change created empowerment and input that was critical to the adoption and benefits realisation of the centralised model.
“You can buy the best technology and design the most efficient processes, but the key to sustained benefits is your people.”
